SYSXPLORE is a learning platform at sysxplore.com. This policy explains what personal information we collect, why we use it and the choices you have. For privacy questions or requests, email [email protected].
When you create an account, we process your email address, username, display name, profile preferences and any optional profile information you provide. Password-based accounts use a password hash rather than storing your password in plain text. We use this information to manage your account, authenticate you, provide access and send service messages such as invitations and password resets.
We also process technical and usage information, such as IP addresses, request times, browser and device information, visited pages and error records, to operate the service, understand its use and investigate abuse.
Google sign-in is optional. When you choose it, we request only the OpenID, email and profile permissions. Google provides your verified email address and basic profile information, including your name and profile picture when available. We use this information to authenticate you, create your account or match an existing account, and populate your profile. We do not receive your Google password or request access to Gmail messages, Google Drive files, contacts or calendars.
Account information obtained from Google is stored with your SYSXPLORE account and used for those account and authentication purposes. It is not sold or used for advertising or AI model training. It may be processed by the infrastructure providers described below to deliver the service. You can revoke Google access in your Google Account permissions; revocation does not itself delete your SYSXPLORE account. To request account deletion, contact [email protected].
We record enrollments, lesson progress, reading activity, exercise answers and results, notes and earned certificates to provide your learning experience. Authorized administrators can access records needed to operate and support the platform. Profile visibility depends on your settings. Public profiles, shared certificate verification links and feedback summaries published on the feedback board may be visible to other people; do not include sensitive information in content you choose to share.
Membership checkout is handled by Polar as merchant of record. Polar processes information such as your name, email, billing details and payment information under its own terms and privacy policy. SYSXPLORE receives customer, subscription and transaction references and status information needed to provide or remove membership access and support billing enquiries. We do not store full payment card details.
Read Polar's privacy policy for information about its processing.
We use cookies and browser storage for sign-in sessions, authentication security and preferences. Disabling these may prevent sign-in or other features from working. Learning and usage records are also processed by our own platform; they are not limited to cookies.
Optional usage analytics, including Google Analytics, PostHog and optional site scripts when configured, remain off until you accept them. We do not enable session recordings. Your choice is stored in this browser for up to 180 days. Use the cookie settings button to change it at any time; rejecting optional analytics does not prevent learning or save less of your course progress.
We use service providers to deliver the platform, including Hetzner for hosting, Cloudflare for DNS, traffic protection and media storage, Google for optional sign-in, and email providers for service messages. Optional newsletter subscriptions may be managed through MailerLite. Marketing subscriptions are separate from required account messages; you can unsubscribe from marketing emails using their unsubscribe link.
Providers process information needed for their services. We may also disclose information when required by law or necessary to investigate abuse, protect accounts or enforce our terms. We do not sell your personal information. Providers may process information in countries other than your own; applicable data-transfer requirements depend on the service and the location of the people involved.
We process information to deliver the service you request, maintain security and reliability, meet legal obligations and, where applicable, act on your consent for optional communications. We keep account and learning records as needed to provide your account and handle support requests. After a deletion request, some information may need to be retained for legal, billing, security or dispute-resolution purposes. Backup copies may remain until replaced through normal backup rotation. We do not promise that every record can be deleted immediately.
Our site contains links to external sites not operated by us. We cannot control and are not responsible for their privacy practices. We encourage you to review their privacy policies.
We use measures such as encrypted connections and account access controls to protect information. No online service or transmission is completely secure, so we cannot guarantee absolute security.
Contact [email protected] to request access, correction or deletion of your personal information, or ask about other rights available under the law that applies to you. We may need to verify your identity before acting. Some requests may be limited by legal obligations or the rights of others. You may also have a right to raise a concern with your local data protection authority.
If we make changes to this privacy policy we will update the date at the top of this page. Please review it periodically for updates.
